Privacy Policy

YOURS ("we", "us") is a custom software studio based in Brisbane, Australia, operating at yours.software. Yours Custom Software, ABN 32 918 286 617. This policy explains what we collect, why, and what we do with it, in plain English.
One thing worth saying up front, because most policies leave it out. The Privacy Act 1988 applies to organisations turning over more than $3 million a year, and we are smaller than that, so it does not strictly bind us. We follow the Australian Privacy Principles anyway. We build other people's systems for a living, and it would be a strange business that held itself to a lower standard than the software it ships. Everything below is what we actually do, not what we are obliged to do.
What we collect
- Enquiry & quote information. When you use our quote engine or email us, we collect what you provide: your name, email, business name, and your answers about your business and what you'd like built.
- Chat & booking information. If you use our live chat or book a call, we collect your name, email, the messages you send and the time you book, so we can reply and prepare for the call. Booking a call creates an event in our Google Calendar and a Google Meet link, so your name and email are included in that invitation.
- Billing information. If you become a client, we hold your invoices and what they relate to. Card payments are handled entirely by Stripe on their own pages. We never see or store your card number. Stripe receives your email address and the amount so it can take the payment and issue a receipt.
- Client portal data. If you become a client, your portal account holds your project details, files you upload, notes and approvals. We also record how you engage with the proposal we send you, such as which sections you view, how far you read and which option you choose, so we can tailor our follow-up. This is tied to your account, not shared with third parties.
- Site usage (first-party analytics). Our own analytics record page views, clicks, the pages you came from, your device type and an approximate location (country and city, worked out from your IP address at the moment of the request). We do not store your IP address itself, only the country and city it resolves to. This stays with us and helps us understand and improve the site.
- Technical basics. Like most websites, our hosting and security systems log IP addresses and request data to keep the site fast and safe.
- Advertising & measurement data. If you arrive via one of our ads, standard campaign parameters (like which ad you clicked) are attached to your visit. We also use the Meta Pixel on this site, which records general actions such as viewing a page, starting the quote and submitting an enquiry, so we can measure which ads actually lead to enquiries and show our ads to similar people.
How we use it
- To prepare and send you the quote you asked for, reply to your chats, confirm your booked calls, and follow up.
- To deliver client projects. Running your portal, communicating about your build.
- To keep the site secure (rate limiting, abuse detection) and understand how it's used.
- To improve our services and, where you've engaged with us, tell you about relevant ones. Every marketing email includes an unsubscribe.
We do not sell your personal information. Ever.
Who we share it with
Only the service providers needed to run things, under their own privacy safeguards. This is the complete list:
- Hosting & infrastructure. Vercel (site hosting), Supabase (database for the client portal, chat and analytics, hosted in Asia-Pacific).
- Email. Google Workspace (our mailbox) and Resend (sending quotes, invoices and notifications).
- Calendar. Google Calendar and Google Meet, for booked calls.
- Payments. Stripe, for card payments on invoices. They receive your email address and the amount. We never receive your card details.
- AI processing. Anthropic's Claude, used to draft quotes, project scopes and our own internal summaries. That means your enquiry answers and, for clients, your project details may be sent to it. Under Anthropic's commercial terms this content is not used to train their models.
- Fonts. Our pages load typefaces from Google Fonts, which means Google receives your IP address when a page loads.
- Advertising platforms. Meta (Facebook/Instagram). Through the Meta Pixel we share limited event data (such as when someone views a page or submits a quote, along with technical identifiers) so we can measure our ad campaigns and reach similar audiences. Meta's own handling of that data is covered by its privacy policy.
Where your data goes
Our database sits in the Asia-Pacific region. Most of the other providers above are based in the United States, so using this site means some of your information is handled overseas. We only use providers with published privacy commitments, but we would rather tell you plainly than bury it.
How long we keep it
- Enquiries and quotes that do not become work: up to 24 months, then deleted.
- Chat conversations: up to 12 months.
- Site analytics: up to 24 months.
- Client project and billing records: for the life of the engagement, then 7 years, because Australian tax and business records have to be kept.
You can ask us to delete your data sooner at any time, and we will unless we are legally required to keep it.
Security
Data is encrypted in transit, access is restricted with row-level security in our systems, and we run active monitoring against abuse. No system is perfect, but we build ours like it matters. Because it does.
Data breaches
If something goes wrong and your personal information is exposed in a way likely to cause you harm, we will tell you and tell you quickly, along with what happened and what to do about it. We are not covered by the mandatory notification scheme at our size. We would do it anyway.
Children
This is a business-to-business site and it is not directed at children. We do not knowingly collect information from anyone under 16.
Your rights
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@yours.software and we'll action it promptly. No forms, no runaround.
If you are unhappy with how we have handled something, tell us first and we will try to sort it. If that does not resolve it, you can raise it with the Office of the Australian Information Commissioner.
Cookies, storage & tracking
We keep it minimal, and here is exactly what runs on your device:
- Our analytics set no cookies. They use browser storage instead: a random session ID that disappears when you close the tab, and a record of how you first found us (the ad or link you arrived from) that persists until you clear your browser. That record contains no name, email or IP address.
- Functional storage keeps you logged into the client portal and remembers where you are up to in the quote flow.
- The Meta Pixel sets its own cookies and shares limited event data, such as viewing a page or submitting a quote, with Meta.
You can opt out easily: visit yours.software/?notrack=1 to switch off all tracking, including the Meta Pixel, on your device (it sticks, so bookmark it if you like). You can also manage your ad settings in your Meta ad preferences, or block third-party cookies in your browser.
